(1038) Admin Analyst/Specialist II – Exempt, Travel Program Coordinator, CSU Classification Salary Range: $5,797 - $8,445 per month (Step 1- Step 20), Step placement will be determined based on relevant qualifications and professional experience. Future increases, including step advancement, are subject to union negotiations. This is a full-time, benefited, exempt, permanent position with a one-year probationary period in the Accounts Payable department. Position Summary:
This position, under the supervision of the Accounts Payable Manager, provides leadership and program administration for the University’s travel and expense program, including Concur and related systems. The incumbent serves as the campus Travel Program Analyst and CSU Expense Optimization Project Lead, responsible for program administration, compliance, policy implementation, training, and continuous improvement initiatives with broad impact across campus and systemwide.
Key Responsibilities:
Program Administration and Leadership: - 30%
• Serve as the Concur lead representative and primary campus administrator for the travel program.
• Oversee all travel-related Accounts Payable functions, including reconciliations and vouchering.
• Administer and support CSU and campus travel and business expense policies, ensuring compliance with Chancellor’s Office requirements.
• Provide program leadership for CSU’s Expense Optimization Project, advancing systemwide initiatives to improve efficiency and effectiveness.
Technology and System Oversight: - 30%
• Act as system administrator for Concur and related travel applications
• Lead planning, development, and implementation of upgrades, optimizations, and enhancements.
• Coordinate with IT, Chancellor’s Office, and CSU systemwide groups on software implementations and changes.
• Participate in CSU-wide travel administrator/lead meetings and represent the campus on expense optimization initiatives.
Training, Communication, and Customer Support: - 20%
• Develop and deliver training materials, live workshops, and reference guides for faculty, staff, and students.
• Create campus-wide communications regarding policy updates, system changes, and best practices.
• Serve as the primary resource to resolve complex travel issues, provide guidance, and ensure consistent application of policy.
Analysis and Continuous Improvement: - 10%
• Conduct financial analysis of travel and business expense spending at the departmental, campus, and systemwide levels.
• Evaluate existing processes and recommend improvements to enhance efficiency and compliance.
• Provide reporting and analysis to management on travel program performance and system optimization.
Supervision and Other Duties: 10%
• Coordinate, train, and assign work to student assistants.
• Provide oversight to support staff involved in travel audits and reviews.

- Serve as the prime contact for the program, specialty, and/or organizational unit. May manage relationships with outside entities or agencies and manage sensitive information and situations.
- May oversee day-to-day program or organizational unit operations and provide lead work direction to other professional or administrative staff, with accountability for results.
Minimum Qualifications:
Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods.
This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
Preferred Qualifications:
- Experience in a higher education, more specifically the CSU.
- Proficiency in SAP Concur Travel & Expense (T&E) system, including configuration, troubleshooting, reporting, and workflow management.
- Knowledge of travel and expense policies, compliance requirements, and industry best practices.
- Familiarity with integrations between Concur and financial systems, preferably People Soft
- Ability to manage sensitive financial and personal data with discretion and confidentiality.
- Flexibility to adapt to technology updates and policy changes quickly.
- Ability to train and support employees and managers on Concur system usage and travel policy compliance.
Knowledge of audit and compliance practices related to travel and expense management.
