Major Duties

Under general supervision, the Administrative Support Coordinator provides administrative coordination and clerical support, serves as the first point of contact, and coordinates essential team and project logistics. Responsibilities include:

  • Organizes and maintains both online (e.g., myCSUNbox, Qualtrics) and physical filing systems.
  • Records, edits, and distributes formal meeting minutes for CARE meetings.
  • Initiates and monitors financial transactions such as eTravel claims, chargebacks, and requisitions.
  • Coordinates the student assistant hiring and separation process including onboarding documentation and background check processing.
  • Responds to phone and email inquiries with professionalism and discretion; triages and routes inquiries appropriately.
  • Performs other duties as assigned.

Qualifications

  • Equivalent to four (4) years of full-time, general office clerical and administrative support experience that has provided the applicant with the knowledge and abilities listed.
  • Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience on a year for year basis.

 

Knowledge, Skills, & Abilities

  • Ability to perform administrative and clerical tasks including coordinating workflows, maintaining organized filing systems (digital and physical), preparing financial transactions, monitoring budgets, recording and distributing meeting minutes, and coordinating hiring and onboarding processes.
  • Ability to provide professional and welcoming customer service in a front-office setting, including greeting visitors, responding appropriately to inquiries via phone and email, providing accurate information, and effectively resolving concerns or directing them to appropriate staff.
  • Skill in effectively communicating, interacting, and building relationships with a diverse range of stakeholders such as students, faculty, staff, external vendors, and governmental agencies, to facilitate efficient workflow, problem-solving, and successful coordination of administrative activities and special events.
  • Skill in coordinating team support activities and managing multiple administrative projects simultaneously, including preparing meeting materials, compiling detailed reports, maintaining accurate data records, and effectively organizing information to ensure timely completion of departmental activities and projects.

 

Pay, Benefits, & Work Schedule

  • The university offers an excellent benefits package, including but not limited to: medical, dental, vision, retirement & savings, tuition waiver and more.
  • Classification: Admin Support Coordinator / 1035 / grade 1
  • The anticipated HIRING RANGE: $1932 (part time equivalent). The salary range for this classification is: $1932 (part time equivalent) - $3036 (part time equivalent) per month.
  • HOURS: Part Time; 20 hours per week; Monday through Friday.  
  • This is a Temporary position; end date to be determined.
  • The position is currently hybrid (3 days in office, 2 days remote); however, this is subject to change based on student and/or operational needs.
